What we collect and why
When you contact us. If you use one of our enquiry forms, we collect your name, email address and whatever you write in your message. We use this to reply to you. Our lawful basis is our legitimate interest in responding to enquiries, or taking steps you’ve asked for before entering into an agreement with us.
When you become a member. If you register as a student or employer member, we collect a username, your email address and a password (stored in encrypted form). We use this to run your account and give you access to member resources and events. Our lawful basis is to provide the service you’ve signed up for.
When you sign up for updates. If you join our mailing list, we use your email address to send you news about our resources and events. We send these ourselves and don’t use a third-party newsletter service. Our lawful basis is your consent, and you can unsubscribe at any time by replying to any of our emails or contacting us.
When you browse the site. With your consent, we use Google Analytics to understand how people use the website, such as which pages are visited and how long for. This helps us improve the site. Analytics cookies are only set if you accept them in our cookie banner. You can read more in our Cookie Policy, and change your choices at any time.
Information about your health or neurodivergence
You never need to tell us about a diagnosis or condition to use this website. If you choose to share information about your health, disability or neurodivergence in a message to us, we treat it as special category data. We use it only to respond to you, keep it confidential and do not share it. Our lawful basis is your explicit consent, given by choosing to share it, and you can ask us to delete it at any time.
Who we share it with
We do not sell your personal information or share it for marketing. We use a small number of service providers to run the website and our communications: our website host, our UK-based email provider, and Google, which provides our website analytics. They process data only on our instructions. Google may store data outside the UK. Where it does, appropriate safeguards are in place, such as the UK’s adequacy regulations or standard contractual clauses.
How long we keep it
- Enquiries: up to 2 years after our last contact with you, unless we need them for longer.
- Member accounts: for as long as your account is active. You can ask us to close it at any time.
- Mailing list: until you unsubscribe.
- Analytics data: up to 14 months, in line with our Google Analytics settings.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- object to, or ask us to limit, how we use your information
- ask for your information in a portable format
- withdraw your consent at any time, where we rely on consent
To use any of these rights, email management@cognitiverange.co.uk. We’ll respond within one month. You can make a request in whatever way suits you best, and we’re happy to make adjustments to how we communicate with you.
Keeping your information safe
Our website uses an encrypted (HTTPS) connection, member passwords are stored in encrypted form, and access to personal information is limited to the people who need it.
Complaints
If you’re unhappy with how we’ve handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
